You can't have it both ways.  Either you insist on
the full (correct) name being sent, as per the rules,
or you don't.

It seems that you don't.  Therefore, what is to stop
entrants sending only the abbreviated club name or,
even better, any unique identifier of their choice?

Rules that are ill-defined, or cannot be enforced,
are no better than recommendations.

A good option for regaining control might be to assign
a unique identifier to each club - 4, 5 or 6 characters,
whatever it takes.
