Perhaps the REAL answer then is a change of venue?
Even round the backwaters here, almost all decent hotels offering conference
venues have the facilities available.
I've been at two meetings in the last week where video / data was streamed
across the net to staff at other locations in real time. These were small
outfits, nothing huge, no great outlay in equipment etc. Indeed, even our
local chapel of rest and crematorium have the facility to allow those who
cannot make it to attend in real time. It's not expensive at all.

Agreed, there were no sound facilities at all at Horwood, not even hearing
loops for those with hearing aids (I didn't have them with me on Saturday,
but I seem to have reached that magic age...). The RSGB had enough problems
setting up some mikes/speakers for the opening presentation, complete with
deafening whistles.. As a conference centre Horwood is severely limited.
And of course your problems with the laptop Ian showed that nothing goes to
plan. Yes, BATC could have done something if pushed but they would have been
somewhat restricted by the problems you mention.
